Description

The HR Operations Supervisor primary responsibility is to manage an HR Operations team covering areas such as employee issue management, systems support, payroll and HR data management, HR Records maintenance and compliance, record keeping employee personnel files as well as requisition management in the Acosta Applicant Tracking System. Responsibilities include supervising a team of HR specialist, monitoring and developing new processes and best practices, ensuring regulatory compliance, supporting escalations, and reporting/delivering upon agreed Service Level Agreements (SLA’s) and Key Performance Indicators (KPI’s).

* Essential Functions of this Position:*

  • Manage and develop the overall function of HR Operations and AskHR employee contact center.

  • Performs alongside team as business needs require to process transactions and support employee, manager and HR associate questions and requests

  • Keeps abreast of federal, state, and local legal requirements by studying existing and new legislation; ensuring adherence to requirements; and advising internal HR teams and management on needed action.

  • Partner with Talent Acquisition team in the oversight of the Acosta requisition process and the creation of job templates in the Acosta Applicant Tracking System (ATS) to ensure the team is maximizing use of recruiting technology and resources.

  • Creates and maintains relationships with other HR departments to ensure full support of Acosta enterprise-wide objectives.

  • Leads and manages a team of specialists responsible for providing project support, ATS administration, I-9 and record maintenance in support of HR compliance initiatives. Interviews, hires, and manages the staff, and performs mid-year and year-end performance evaluations.

  • Handles escalated issues and partners with support staff to address critical issues that require direction/resolution.

  • Maintain accurate and updated information on the Acosta HR SharePoint site.

  • Responds to all oral and written associates and management inquiries

  • Collaborate with system product owners.

  • Miscellaneous duties as assigned.

Qualifications

* Minimum Education Requirements:*

  • High School Diploma/GED

* Experience Requirement:*

  • 3-5 years HR Experience working in a team setting. Preferred Management and/or Administrative, Generalist, or Operations Management

* Knowledge, Skill and Ability Requirements:*

  • Broad knowledge of HR fields including payroll, time and attendance, organizational management, and compliance for record-keeping.

  • HR Records knowledge with in-depth understanding of all rules, regulations, policies, procedures and record keeping ensuring compliance with federal, state and corporate requirements.

  • Comfortable multi-tasking and performing multi-faceted tasks in conjunctions with day-to-day activities.

  • Ability to focus on team development and a demonstrated ability to supervise, motivate, coach, train and provide timely feedback to associates. Ability to work independently and function well in a team environment.

  • Must be able to act as a change agent and communicator.

  • Must demonstrate excellent time management, problem solving skills and customer service skills.

  • Ability to supervise a team across multiple work functions.

  • Ability to use a wide range of HR systems and teach others their use.

  • Skilled at process improvement and documentation.

  • Understanding of how common HR and Applicant Tracking systems function.

  • Willingness to take accountability and ownership for both success and areas of opportunity.

  • Must be able to effectively communicate to and get along with diverse personalities, tactful, mature, and flexible.

  • Ability to maintain highest confidentiality level, be extremely attentive to detail and have able to work under tight timelines.

  • Excellent written and oral communication skills.
