Acosta Sales & Marketing Payroll Analyst in Jacksonville, Florida


Position is responsible for day to day payroll processing for 8 FEIN’s and 25K associates, supporting 50 states and all US territories. Responsibilities include entering payroll information for time and attendance, taxes, deductions, and payroll adjustments. Ensures compliance of federal, state, and local taxes. Verifies that associates are set up appropriately so that regulatory requirements met. Ensures that the transmission of data to payroll agent is accurate and on time.


  • Processes payroll for multiple tax entities, and locations including receipt and management of associate’s work hours, earnings, deductions, and taxes in compliance with federal and state regulations.

  • Reviews, verifies, payroll data for transmission. Ensures transmission of payroll to agent is accurate, on time and in compliance with federal, state and local employment and tax regulations.

  • Enters federal, state and local taxes and ensures Associates are coded in accordance to state and local jurisdictions.

  • Ensures all associate transfers are set up accurately, including tax implications.

  • Responds to all oral and written associates and management inquiries.

  • Presents to Payroll Supervisor critical issues that require direction/resolution.

Miscellaneous duties as assigned.

  • Process payroll adjustments timely per Acosta Policy.

  • Initiate stop payments and direct deposit rejections as required.

  • Answer employee inquiries submitted via the ticketing system within SLA guidelines.

  • Review employees to insure accruals are calculated and updated correctly.

  • Process terminations timely, ensuring that Acosta is in compliance with terminations in states warranting immediate delivery of payments and with Acosta Policies.

  • Daily maintenance of all time files effecting employees on LOA or retuning from LOA.

  • Daily maintenance of all time files effecting employees on Workers Compensation.

  • Running Payroll Off-Cycles to insure are wages are updated into the payroll system.

  • Processing and reviewing new hires within the payroll system to insure accurate and timely payments according to law and Acosta Policies.

  • Reviewing change reports daily to insure employee records are correctly updated in the payroll and timekeeping systems.

  • Ensures all associate transfers are set up accurately, including tax implications.

  • Presents to Senior Payroll Manager critical issues that require direction/resolution.

  • Performs a wide variety of tasks and a wide degree of creativity and latitude is expected.

  • Processes severance and relocation packages.

  • Reviewing and resolving all errors before payroll is finalized.

  • Processes accrual for all employees when payroll status changes.


  • 3 years of payroll processing experience.

  • Experience with 5+ FEIN’s, processing of 15K employee’s and handling 20+ US states and territories.

  • Knowledge in payroll deductions and taxes.

  • Capable of importing and uploading payroll data electronically.

  • Intermediate Microsoft Excel. Ability to analyze and reconcile large volumes of payroll data.

  • SAP Payroll/GV experience a plus.

  • Kronos knowledge a plus.

  • Knowledge of PR administration including a reasonable understanding of all rules, regulations, policies, procedures and record keeping to ensure compliance with federal, state and corporate requirements.

  • Ability to maintain highest confidentiality level

  • Must be extremely attentive to detail

  • Must be able to work under tight timelines

  • Good written and oral communication skills.

  • Ability to interact with internal and external contacts to exchange or obtain information.

  • Ability to perform work in a self directed, team environment.

  • Must be able to manually calculate gross to net pay.
